Property Manager (part-time)

Reporting to

The Property Manager will report to the Managing Director and Director of ND Property Management Ltd.

Working Hours

9am to 12.30pm Mon to Fri.

 The job holder will be expected to provide first response call out cover, out of hours (6pm to 8am week days, Weekends and Bank holidays). Time in lieu will be offered in respect of actual call out time.

 The job holder will be expected to attend AGM/EGM and resident meetings, some of which will be in the evening. These are normally annually for each property entity.

 Background

ND Property Management provides a bespoke service to residents’ management companies for residential Block Management. It is responsible for maintaining and enhancing the fabric, amenities and services of the common areas of residential property, according to client requirements, and in compliance with contract and other statutory provisions. Common areas include receptions, corridors, lifts and external areas. The Company is responsible for the financial management of service charge and sinking fund contributions.  The Company currently manages a number of high profile residential properties including College Gardens.  Our current portfolio is approximately  250 residential units.

 Job Overview

The job holder will provide administrative support in the provision of block management property services to clients

Experience

Ideally the Property Manager should have:

  • A good understanding of Block Management and current legislation affecting residential Property Management including Health and Safety
  • Understanding of preparation and management  of service charge budgets
  • Good written and numerical skills
  • Proficient in using standard Microsoft office packages inclusive of Word, Excel and Outlook
  • Awareness of data protection requirements
  • Full Driving licence
  • A knowledge of bookkeeping, accounting would be beneficial 

 Personal characteristics 

A calm polite manner, initiative and common sense. A self- starter and team player who can work independently without direct supervision or direction.Excellent stakeholder engagement skills. An ability to prioritise and determine key tasks.

 Responsibilities and Duties

The nature of the work is varied but can include:

  • Inspections - the post holder will be required to visit residential accommodation and inspect common areas including landscaped areas, roofs, corridors and garages in accordance with the contractual obligations of the Company.
  • Dealing with Association and owner enquiries proactively with care and due diligence
  • Attending board, AGM/EGM and resident meetings, including evening meetings.
  • In liaison with the Directors instruct maintenance contractors and cleaners when required.
  • In liaison with the Directors to prepare and agree scope of works for repairs, maintenance and instruct contractors in relation to small works. Follow through all instructions issues and ensure completion in line with agreed time frame, costs and quality.
  • In liaison with External Suppliers, co-ordinate collection of for service charge arrears including legal proceedings and other breach of declaration.
  • Maintaining an up to date data base of owners, contractors, contractor agreements  and stakeholders.

 Remuneration
